Tips for Searching Specific Cabinets Print E-mail
Some cabinets in the Fridley Online Document System are more easily searched if you know how the documents themselves are stored and indexed.   

Remember, many document types allow you to perform a full text search if you have trouble finding your document using the index fields and the tips below.  For a complete searching how-to, please see Using the Fridley Online Document System.

For all the cabinets, you can ignore the Storage Date field.  It is an artifact of the system used to store the documents and is meaningless in this context.  It would likely make it more difficult for you to find your documents.

Agendas and Minutes

  • Agenda and Minutes dates are formatted as dd/mm/yyyy, using two-digit days and months, and four-digit years.
  • You can use wildcards to find Agendas and Minutes by date.  Entering *2008 in the Date field will list all of the City Council agendas or minutes from the year 2008.  Entering 01*2007 will list the agendas or minutes from January 2007.
  • City Council agendas have been scanned back to April 1963, though there may be missing agenda books.  After each City Council meeting, the agenda is added to the system, along with any items received by the council intended to become part of the permanent record.
  • City Council minutes have been scanned back to 1949.  All current minutes are added to the system once they are approved by the council. 
  • Commission agendas and minutes are incomplete and are scanned in as they are as uncovered as we go through our paper records.

Deeds & Easements

  • It is usually easiest to fill in the Document Type field by right-clicking on the field, selecting Select List from the pop-up menu, and selecting from the document types displayed.
  • Parcel #s are formatted as xx-xx-xx-xx-xxxx (including dashes), with the parts corresponding to the section, township, range, quarter, and suffix, respectively, of the parcel.  If you know part of the parcel number, for example township and range, you can use wildcards to search the field.  For example, entering *30-24 will find all the documents covering property in township 30 and range 24.
  • Doc #s can have multiple formats.

Ordinances

  • Ordinance numbers are formatted as ORD ####, where #### is the ordinance number.
  • If you know the ordinance number you are searching for, you can enter * then the number to find it quickly.  For example, entering *718 will bring up a result list with just those documents related to Ordinance 718.
  • All ordinances adopted by the City Council have been imaged. As additional ordinances are adopted by the City Council, they will be imaged and made available to the public. If you are looking for a specific meeting date or year and they are not imaged, please contact the city clerk's office at 763-572-3523.

Property Records

Inspections
  • Effective September 1, 2011, all permits and inspections received and/or issued by the City are input daily. Historical residential address files are being scanned first, then commercial address files.
  • Residential address files completed through:  1522 Ferndale as of 10/07/2011.  For information that is not yet available, please contact Building Inspections at 763-572-3604.
  • The following Document Type abbreviations are used for Inspection records:
    • AC: ADDRESS CARD
    • AF: ADDRESS FILE
    • AF-ACQ: ADDRESS FLE-ACQUISITION
    • AF-ASSESS: ADDRESS FILE-ASSESSMENT
    • AF-CE: ADDRESS FILE-CODE ENFORCEMENT
    • AF-COS: ADDRESS FILE-CERTIFICATE OF SURVEY
    • AF-LA: ADDRESS FILE-LAND ALTERATION
    • AF-LC: ADDRESS FILE-LAND CONSOLIDATION
    • AF-LS: ADDRESS FILE-LOT SPLIT
    • AF-PS: ADDRESS FILE-PLAT
    • AF-R: ADDRESS FILE-RENTAL

Land Use Records
  • Land use files are input when they have been approved by the City Council.

    • CP: COMPREHENSIVE PLAN AMENDMENT
    • LC: LAND CONSOLIDATION
    • LS: LOT SPLIT
    • MP: MASTER PLAN AMENDMENT
    • PS: PLAT
    • TA: TEXT AMENDMENT
    • SAV: VACATION
    • SP: SPECIAL USE
    • TOD: TRANSPORTATION ORIENTED DISTRICT
    • VAR: VARIANCE
    • WR: WETLAND REPLACEMENT PLAN
    • ZOA: REZONING (ZONING TEXT AMENDMENT)

Resolutions

  • Resolution numbers are formatted in several ways depending on which body they come from (city council or HRA) or whether they are a codification or index.  
    • City council resolution numbers are formatted as RES yyyy-####, where yyyy is the four-digit year of the resolution, and #### is its number in that year.
    • HRA resolution numbers are formatted as HRA RES yyyy-####, where yyyy is the four-digit year of the resolution, and #### is its number in that year.
    • The "Resolution #" of codifications and indicies are formatted as yyyy CODIFICATION, and yyyy INDEX respectively, with yyyy being the four-digit year.
  • If you know the year of the resolution you are searching for, it may be easiest to search by year.  You can enter * then the year  into the Resolution # field to list all of the resolutions for that year.  For example, entering *1999 will show all of the resolutions from the year 1999.
  • All resolutions adopted by the City Council have been imaged. In addition, some of the HRA resolutions have been imaged. As additional resolutions are adopted by the City Council or the HRA, they will be imaged and made available to the public.
